Conflicts of Interest Policy

Purpose

Buyers — especially public-sector buyers — must be able to trust that RODMENA LIMITED's advice and bids are free from improper influence. This policy explains how we identify, declare and manage actual, potential or perceived conflicts of interest, consistent with the requirements of the Procurement Act 2023.

What counts as a conflict

• Personal, family or financial relationships with a buyer's staff or decision-makers.
• Interests in competing or complementary suppliers involved in the same procurement.
• Prior involvement in designing a requirement we later bid for.
• Gifts or hospitality that could be seen to influence a decision (see our Anti-Bribery Policy).

How we manage conflicts

• Everyone acting for the company must declare a possible conflict as soon as they become aware of it.
• Declared conflicts are recorded, and mitigations agreed — from disclosure to the buyer through to withdrawal from the opportunity.
• Where a public procurement requires it, we disclose relevant interests to the contracting authority proactively.
• We keep the register under review for the life of each engagement.

Ownership

The Director owns this policy, maintains the conflicts register, and reviews both at least annually.
